Define the reporting question before creating the account

We recommend linking management needs to their sources: are you analysing revenue by activity, project costs or a branch? Discuss which needs require separate ledger accounts and which can use another analytical method within the agreed design.

These are design questions, not a rule that every business needs an identical structure or that every management dimension must become a general-ledger account.

Document the migration map

Prepare a table identifying the old account, proposed destination, reason for merging or splitting and expected balance/reporting effect. If an account is unclear, request evidence or explanation before renaming it; a new name does not necessarily fix its contents.

The Companies Law requires financial statements to follow accounting standards approved in the Kingdom. A ready-made account-name list alone does not establish compliant treatment or statements; mapping is an accounting work tool, not an approval certificate.

Test the design's effects

As a suggested acceptance checklist, trace a sale, purchase, expense and asset through entries and the reports relevant to scope. Review with the accounting owner:

  • Did the balance appear in the intended classification?
  • Can management still trace the detail it needs?
  • Can differences from the previous system's report be explained?
  • Has a summary account become a container for unexplained transactions?

When should you approve the chart?

Approve the design after reviewing the map, test results and documented exceptions, not before understanding their effects. Later changes also need impact review for data and reports; reclassification is not assumed safe in every case.
