Turn your business description into a scope that can be quoted

“I need an accounting system” does not explain what must be delivered. Prepare a summary of activities, branches, user roles, invoice sources, inventory movements and management reporting needs. Avoid broad requests such as “all reports” without identifying the decision each report should support.

Ask for included modules and exclusions to be stated. Accounting alone is not the same scope as accounting with sales, inventory and manufacturing; they should not be treated as the same service.

Data condition is part of the work

Ask for a data sample to be examined before agreeing migration work. Is the chart of accounts clear? Are customer and product records duplicated? Can each customer and supplier balance be explained? Does inventory value agree with accounting records?

Have the proposal explain whether it covers data cleanup and resolving differences, or the import of prepared files your business approves. Do not let “data migration” conceal disagreement about who corrects the source and approves the balances.

Separate configuration from integration and development

Ask what will be delivered through standard configuration, what requires development or an external integration, and who will maintain it. Test the proposed workflow before asking to recreate every step from the old system; simplifying a process may be preferable to customizing it.

For e-invoicing, ZATCA explains that the integration phase requires the electronic solution to connect with its systems and generate invoices in the required format. Make preparation and testing of this workflow explicit when it forms part of your project scope; an invoice layout alone does not fulfil that requirement.

Compare deliverables, not stage names

Item What the proposal should clarify
Software and hosting What the subscription covers and what is contracted separately
Configuration Included accounts, modules and reports
Data Files and balances to migrate, and responsibility for cleanup and approval
Integrations Included systems, test scenarios and responsibility for resolving issues
Training Team roles and daily tasks covered
Go-live and support Assistance boundaries, issue reporting and exclusions

Also ask for an acceptance criterion for each deliverable. How will you check that the trial balance agrees? How will the sale-to-collection workflow be reviewed? Define how scope changes are approved before execution. These questions clarify a proposal; they are not a promise of fixed cost or timing.

Start by defining what you actually need

If the condition of your accounts is unclear, an Accounting System Health Check can provide a written findings report. It covers diagnosis only; remediation requires a separate proposal.
