Confirm the period before exporting reports
Do not start with a sales total from an unrelated spreadsheet. Open the return available in the business account, identify its start and end, and use the same period for sales and purchase reports. The submission guide requires selecting the return and reviewing taxpayer details before entering VAT on sales and purchases.
Prepare the figures before completing the form
ZATCA's service requests total sales and purchase details. Its guide describes entering VAT on sales, VAT on purchases and total VAT, and attaching supporting documents for the request.
To organize the work, collect the following in a review file:
- Sales and purchase reports for the same period, with totals linked to supporting documents.
- Relevant invoices, credit notes and debit notes.
- Import or unusual-transaction information for specialist review where applicable.
- A list of differences between the tax report and general ledger, with an explanation for each.
- The previous return and review points that remain open.
This is a practical preparation checklist, not a substitute for determining each transaction's tax treatment. An invoice may exist while its classification or reporting period still needs review.
Do not assume that every purchase-tax amount is deductible
ZATCA's guidance explains that input-tax deduction depends on the applicable conditions and evidence, and that accepting alternative documents where an invoice is missing or incomplete is at the Authority's discretion. A tax amount appearing in the system does not by itself establish a valid deduction. Refer incomplete cases for review before approval.
As an internal control, ask for an explanation of differences rather than changing the form's total simply to match an expected amount. Keep a clear draft showing who reviewed the figures and which issues remain unresolved.
Submit and keep the transaction record
According to ZATCA's guide, complete the data and supporting documents, review the request summary, and select submission and generation of the SADAD bill. After successful submission, the request form can be downloaded. The service page also describes a receipt notification and bill amount sent by SMS and email.
For internal follow-up, keep the return, notification, payment bill and payment evidence once paid in the same file. Track submission and payment separately, and do not treat a saved draft as proof of submission.
Your next step with Aleem and the partner firm
Request the Zakat and VAT returns service. Preparation, review and professional work are delivered by an accredited, appropriately licensed partner firm, which the client contracts with and pays directly. Aleem coordinates and follows up; it does not perform or sign the licensed professional work and receives no referral commission. Assessment objections and disputes are outside this service.
If the problem is unreliable system reports, start with an Accounting system health check at SAR 500 excluding VAT. It provides diagnosis and a report of problems identified within the agreed scope. It does not include remediation or professional preparation, review or submission of the return.
